This Privacy Policy explains how Edstackr collects, uses, shares, protects, retains, and deletes information when you use our website, application, scheduling tools, session tracking tools, QR check-in features, observer links, reports, billing features, and related services.
This Privacy Policy is part of our overall relationship with users and should be read together with our Terms of Service.
1. About Edstackr
Edstackr is a software tool designed to help tutoring centers, learning centers, and similar organizations manage scheduling, student session tracking, check-ins, attendance-related workflows, observer links, reports, and related administrative tasks.
Edstackr is intended for use by center directors, administrators, staff, helpers, and other authorized users. Edstackr is not intended for students to create independent accounts unless we specifically offer that feature in the future.
2. Information We Collect
We may collect the following types of information.
Account Information:
- name;
- email address;
- password hash;
- center name;
- account role or permissions;
- login and authentication information;
- verification, password reset, and security-related records.
Center and Staff Information:
- center details;
- staff/helper account information;
- permissions and access settings;
- scheduling information;
- operational settings;
- notes or information entered by the center.
Student and Session Information:
- student names;
- schedules;
- enrollment or grouping information;
- attendance and session records;
- check-in and check-out records;
- QR/session tracking information;
- observer link activity;
- notes or other information entered by the center.
Payment and Billing Information:
- subscription status;
- billing plan;
- invoice-related information;
- referral or credit information;
- Stripe customer ID or similar payment processor identifiers;
- payment status and billing events.
We do not store full credit card numbers. Payments are processed by third-party payment providers such as Stripe.
Technical Information:
- IP address;
- browser type;
- device information;
- pages or features used;
- log data;
- error reports;
- security and authentication events.
Communications:
- emails or messages you send us;
- support requests;
- feedback;
- contact form submissions;
- setup or onboarding communications.
3. Center Data
Information entered into Edstackr by or for a center, including student information, schedules, attendance records, session records, helper accounts, observer links, and related operational information, is referred to in this Privacy Policy as “Center Data.”
The center is responsible for making sure it has the right to provide Center Data to Edstackr and to use Edstackr as part of its workflow. This may include providing notices or obtaining permissions from parents, guardians, students, employees, staff, helpers, or others where required.
4. How We Use Information
We use information to:
- create and manage accounts;
- provide Edstackr’s scheduling, check-in, session tracking, observer link, and reporting features;
- manage helper and staff access;
- maintain center workspace settings;
- process billing, subscriptions, discounts, credits, and referrals;
- provide customer support;
- send service-related emails;
- troubleshoot bugs and improve reliability;
- protect against unauthorized access, fraud, abuse, and security incidents;
- understand and improve how Edstackr works;
- comply with legal, tax, accounting, security, and business obligations.
5. Student Information
We understand that student information can be sensitive.
We do not sell student information.
We do not use student information for targeted advertising.
We do not build advertising profiles about students.
We do not knowingly use student information for unrelated marketing purposes.
We use student information only to provide, maintain, secure, support, and improve Edstackr for the center that provided the information.
If a parent, guardian, student, or staff member has a question or request about information controlled by a center, we may direct the request to that center or work with the center to respond.
6. How We Share Information
We do not sell personal information.
We do not sell student information.
We do not share student information for targeted advertising.
We may share information with service providers that help us operate Edstackr, such as:
- cloud hosting providers;
- database and infrastructure providers;
- payment processors;
- email delivery providers;
- analytics or error monitoring providers;
- security and fraud-prevention providers;
- professional advisors, such as accountants or attorneys, if needed.
These service providers may use information only as needed to provide services to us or as required by law.
We may also share information if needed to:
- comply with law, legal process, or government requests;
- enforce our Terms of Service;
- protect the rights, safety, and security of Edstackr, users, students, staff, helpers, centers, or others;
- investigate fraud, abuse, billing issues, or security incidents;
- complete a business transfer, such as a merger, acquisition, financing, reorganization, or sale of assets.
7. Cookies, Local Storage, and Similar Technologies
Edstackr may use cookies, local storage, and similar technologies to:
- keep users logged in;
- remember settings;
- support helper credentials or local app state;
- improve security;
- operate core features;
- understand basic usage;
- troubleshoot issues.
You may be able to control cookies through your browser settings, but disabling certain cookies or local storage may cause parts of Edstackr to stop working correctly.
8. Billing and Payment Processing
Edstackr uses third-party payment processors, such as Stripe, to process subscriptions, payments, invoices, discounts, credits, and related billing activity.
Edstackr does not store full credit card numbers.
Payment processors may retain transaction records where required for legal, tax, accounting, fraud-prevention, audit, security, or payment network reasons.
Deleting your Edstackr center workspace may not delete all records held by payment processors if those processors are required or permitted to retain them.
9. Data Retention
We keep information for as long as needed to provide Edstackr, operate our business, comply with legal obligations, resolve disputes, maintain security, prevent fraud, and enforce our agreements.
Center Data is generally kept while the center workspace is active.
If a center workspace is deleted, we will delete or de-identify Center Data according to our deletion process, except where limited retention is needed for legal, tax, accounting, security, backup, fraud-prevention, audit, dispute-resolution, or legitimate business purposes.
Deleted information may remain in backups for a limited period until those backups expire through normal backup rotation.
10. Account and Center Workspace Deletion
Center directors or authorized administrators may request deletion of a center workspace.
Deleting a center workspace may permanently delete students, schedules, attendance records, session history, helper accounts, observer links, polling devices, settings, referral information, and other Center Data associated with that center.
For safety, Edstackr may require additional verification before completing deletion, such as:
- password confirmation;
- email confirmation;
- typed confirmation text;
- acknowledgement checkboxes;
- a waiting period.
Billing cancellation and center workspace deletion are related but separate processes. Canceling billing does not always mean all Center Data is immediately deleted. Deleting a center workspace may not remove payment records retained by third-party payment processors where retention is legally or operationally required.
11. Security
We use reasonable technical and organizational measures to protect information, including authentication protections, access controls, secure infrastructure, limited access to user data, and monitoring for security and reliability issues.
No system is perfectly secure. Users are responsible for keeping login credentials safe, managing helper access responsibly, and preventing unauthorized use of admin accounts.
If you believe your account or center workspace has been accessed without permission, contact us as soon as possible.
12. Children’s Privacy
Edstackr is designed for use by tutoring centers and their authorized staff, not for children to create independent accounts.
Because centers may enter student information into Edstackr, centers are responsible for providing any required notices and obtaining any required permissions from parents, guardians, students, or others before using Edstackr with student information.
If you believe student information was entered into Edstackr without proper authorization, contact us.
13. California Privacy Rights
Depending on where you live and whether applicable privacy laws apply to Edstackr, you may have rights to request access to, correction of, or deletion of personal information.
You may contact us to request access, correction, or deletion of your personal information.
Because Edstackr is used by centers, requests about student information or Center Data may need to be handled through the center that controls that information. If a parent, guardian, student, or staff member contacts us about information controlled by a center, we may direct the request to the center or work with the center to respond.
We do not discriminate against users for exercising privacy rights.
14. International Users
Edstackr is currently intended for use in the United States.
If you access Edstackr from outside the United States, you understand that your information may be processed in the United States or other locations where our service providers operate.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
If we make material changes, we will provide notice through the service, by email, or by posting an updated version on our website.
The updated Privacy Policy will apply after it becomes effective.
